How to view and add a new KPI for a post site on the Back Office Dashboard?

The KPI (Key Performance Indicator) feature in GuardsPro enables admins to efficiently track, analyze, and measure performance metrics for post sites. By defining KPIs, admins can set daily, weekly, or monthly targets for key operational activities such as Standard Reports, Incident Reports, Checklists, Tasks, and Site Tours. This ensures that security guards consistently meet performance objectives within the specified timeframe, while providing better visibility and accountability across operations.

✅ This guide will walk you through the steps to view and add a new KPI for a post site on the Back Office Dashboard:

🧭 Step 1: Navigate to Post Sites

• Click on the Clients tab in the main menu.

• Select Post Sites from the dropdown.

• Choose the post site where you want to add a KPI.

⚙️ Step 2: Configure KPI Details

• Navigate to the KPIs tab under the post site menu.

• Click on Add New KPI on the top right corner.

• Select the desired frequency: Daily, Weekly, or Monthly and add a description, if required.

• Next, each report type includes an On/Off toggle — you can enable or disable reports based on your requirements for KPI tracking. The available report types are: Standard Reports, Incident Reports, Site Tour Reports, Task Reports and Checklist Reports. 

• Specify the target number of reports that guards need to complete within the selected frequency. For example: 1, 2, 3, or more reports depending on your operational requirements. 

• Once all details are configured, click Add to save the KPI.

📧 Step 3: Set Up Email KPI Reports

• Use the On/Off toggle to enable or disable automated email KPI reports.

• Add multiple email addresses to receive KPI reports, ensuring your client or back office team members stay informed. 

⚠️ Note: By default, the Back Office Dashboard user’s account email is automatically added when this option is enabled. 

📊 Step 4: View KPI Details and Graphical Representation

• Click on the KPI to view its complete details, including the description and configured settings. From here, you can also view reports based on the selected frequency — whether daily, weekly, or monthly and if the KPIs set were achieved or not.

• The section below also provides a graphical representation of KPI performance, making it easier to monitor progress against targets and identify performance trends at a glance.

🛠 Step 5: Manage KPI Reports via Three‑Dot Menu

• Use the three‑dot menu beside each KPI report to perform additional actions.

• Available options include:

  • Edit – Update KPI details or frequency.

  • Delete – Permanently remove a KPI report.

  • Export as PDF – Download KPI data in PDF format.

  • Export as Excel – Download KPI data in Excel format for further analysis.

  • Email Reports – Send KPI reports directly via email to selected recipients.
