The Post Orders feature in GuardsPro allows admins to convey important instructions directly to guards deployed at post sites. These orders ensure that guards can follow clear, site‑specific guidelines related to their tasks and responsibilities.
Every time a post order is added or updated, guards are instantly notified on their GuardsPro Mobile App to acknowledge, ensuring smooth communication, compliance, and accountability. This strengthens operational control, improves guard performance, and enhances transparency across your client’s security operations.
✅ This guide will walk you through the steps to add post orders on the Back Office Dashboard:
🧭 Step 1: Navigate to Post Sites
- Click on the Clients tab in the main menu.
- Select Post Sites from the dropdown.
- Choose the post site where you want to add post orders.
📂 Step 2: Open the Post Orders Tab
- Navigate to the Post Orders tab under the selected post site.
- Click New Post Order in the top-right corner to create your post order.
- Once post orders have been created, they will appear on this page, where you can review or manage them as needed.
✏️ Step 3: Create or Copy a Post Order
You can create a new post order from scratch by entering all necessary details and enhancing it with tables, images, links, and attachments to ensure instructions are clear, comprehensive, and convenient for guards to follow.
- Alternatively, if post orders have already been added to another post site, you can use the Copy From option to copy them to the current post site. Please note that only the text will be copied; any attachments must be added manually.
- Once done, click Add to publish or Save as Draft to save it for later.
⚠️ Note: Do not manually assign guards to the new post order. GuardsPro automatically assigns post orders to all guards currently assigned to the post, as well as any new guards added in the future.
🛠 Step 4: Manage Post Orders
- To manage an existing post order, click on the three‑dot menu next to it.
- The following options are available:
- Edit – Update or modify the post order details.
- Delete – Remove the post order permanently.
- Export as PDF – Save the post order as a PDF file for record‑keeping or sharing.
- Print – Print the post order directly for offline use.
👁️ Step 5: View Post Order Acknowledgement
- When you click on a post order, it will open the Acknowledgement section.
- Here, you can see which guards have acknowledged the post order and which have not.
- Guards who have not acknowledged will show a Pending status, ensuring supervisors can track compliance and follow up where necessary.
