The Vehicle details in Visitor Manager feature in the GuardsPro mobile app enables security guards to efficiently log and track visitors vehicle entries at client sites. All visitors vehicle records are securely stored in the cloud and can be accessed by admins or managers through the back-office dashboard, ensuring seamless and centralized visitor management.
✅ Step-by-step instructions to add vehicle details in Visitor Manager via the Mobile App
Once logged into the mobile app, select the Post Site option next to the Home option
After checking into the post site, scroll down and select the Visitors icon. From there, you’ll be able to manage the Visitor for the site you have checked into.
Once you select the Visitor and click on the check-in button on the visitor profile you will be navigated to the Vehicle List screen which lists out all the previously added vehicles. To add a new vehicle click on the + icon at the bottom right corner.
You will be asked for the following information:
- Upload the image of the vehicle for visual identification, if needed.
- Year: The year during which the vehicle was purchased.
- Make: The vehicle manufacturer name.
- Model: The vehicle model name.
- Color : The color of the vehicle.
- License Plate: Vehicles License number.
Once all necessary information is filled in, click Save to add the vehicle to the database.
On skipping the Vehicle List, you can check in the visitor by providing the following details:
- Date : The visitor check in date
- Time : The visitor check in time
- Location : The location where the visitor has checked in.
- Reason to visit :Providing the reason to visit the location.
- Person to meet : Providing specific person's details whom the visitor is about to meet.
- Notes : Any feedback on the visit.
Finally check in or hit the submit / print button to proceed.
Additionally, you can easily check out a visitor who has already been checked in at a post site.
To do this, navigate to the Visitor Manager screen, then select the visitor from the list of checked-in guests. At the bottom of the visitor’s profile page, tap the Check Out button to proceed.
When checking out a visitor, you’ll be prompted to enter the following details:
Date: The date the visitor is leaving the location.
Time: The time the visitor checks out.
Notes: Any comments, feedback, or observations about the visit.
Once all required fields are filled, tap Submit to complete the check-out process.
