The GuardsPro Mobile App is a user-friendly solution designed to help security guards perform their daily tasks—such as patrols, inspections, and reporting—more efficiently while in the field using their mobile phone. By enabling guards to scan checkpoints, submit reports, capture photos, and communicate in real time, the app reduces paperwork, improves accuracy, and enhances accountability.
Guards can submit detailed reports with text, photos, and videos directly from the app, ensuring supervisors are instantly updated on incidents or completed tasks. Its intuitive design requires minimal training, making it easy to adopt, while all activities are tracked and securely stored in the system for reliable record-keeping.
Getting Started – Account Setup
Step 1: Login to the Mobile App
The GuardsPro Mobile application is compatible with both Android and iOS smartphones.
Minimum specifications for mobile devices
a) Android 5.1 and up: Android App version 8.4.2
b) iOS 12.0 and above: iOS App version 8.5

Ways to Join Your Employer or Company on GuardsPro
You have four options to join your company’s account on the GuardsPro Mobile App:
Invited by SMS or Email
- Join by Code
- Invited via link
- Create Profile
OPTION 1. Invited by SMS or Email
When your employer adds you as a guard using your mobile number or email, you will receive a text message or email with a registration link.
Click the link to access the registration page, complete the form, and create your password. Please make sure to note down the password you set for future use.
Next, depending on the device you are using, you will be taken to the app store to download the app. You can use below links:
Once downloaded, click on the open button. The first option will allow you to enable your notifications. Then, log in with your registered phone number or email Id. Next, join your company by entering the join by code and confirm. You'll be taken to the home screen to start using the app.
OPTION 2. Join By Code
This code is provided by your employer, the security guard company. If this is your first time you have been invited by a security guard company and you do not have a security guard account with GuardsPro, you will first need to download the app from the Play Store or App Store and register as a security guard.
To register, please open your GuardsPro mobile app and click on the Signup Here link below the login screen.
After registration, you will be brought back to the sign-in screen. You can login using your phone number or email ID. Next, on the Select Company page, click on Plus icon on the bottom right corner of the app.
Next enter the 6 digit invitation code provided by the security guard company. Now check the company name and details and join the company.
OPTION 3. Invited using the link
Sometimes, your employer may send you a direct invitation link via chat or internal communication platforms. With the “Invite Using Link” option, you will receive a unique registration link to join the GuardsPro Mobile App.
Simply click the link, and you’ll be redirected to the sign-up page. Enter the required details, complete the registration, and your account will be ready to use.
OPTION 4 : Create Profile
Once your profile is set up directly by your employer through the back office dashboard, you will receive your login details via email. You can then use these credentials to sign in to the GuardsPro Mobile App.

STEP 2: Update Profile on the Mobile App
The next step is to update detailed guard profiles right from the mobile app. The guards can add/update their contact details, manage licenses, update profile picture and many more easily on the app.
1. Managing Contact Details
Once you logged into the app, click on the three lines on the top left corner to access the main menu, and then click on your profile.
Click on Edit icon next to personal information. Now go ahead and add the profile image and all the other details one by one. Once all the details are updated, simply click update.
2. Managing License
Click on the three lines on the top left corner of the app to access the main menu, select settings and then select Manage Licenses option.
On the next screen, when you click on the License Type, you see a list of the license types that you can upload. Select the appropriate license type and then add all the required details- the license number, expiration date, and a photo of the license. Once done, simply hit Save.
You can edit previously added license details, simply click on the license from the list and update the details.

3. Changing Password
To change the password, simply logout of the app and click on Forgot Password. Next, add your registered mobile number. The OTP will be sent to this number and your registered email ID. Now, enter the OTP, type new password, and Submit
Now, you’ll be redirected to the login page. You can now login with your new password.
Similarly, you can add your profile picture, enable Passcode, access support center on the mobile app, prioritize app notifications, manage setting as per your requirement and many more.
STEP 3: Confirm your scheduled shifts
You are on the main screen of GuardsPro Mobile app where you will get the notification of the assigned shift.
Click on the Home page and select Schedule.
On the next screen you see a list of the confirmed, unconfirmed, open shifts, exchange shift, time off, time logs, time cards, and payroll.
Click on the Unconfirmed Shifts.
You’ll see a list of available shifts, click on a shift to view details, and simply confirm.
Confirming Open Shifts
Guards are notified of the open shifts on the GuardsPro Mobile App which they can confirm in a few simple steps:
On the home page select Schedule. Now click on the Open Shifts section.
You see a list of all the open shifts available that you can pick and confirm.
Click on a shift to view the details and just click on Take Shift to take up the shift.
After you've confirmed the shift, it needs to be confirmed with the security manager/admin. Once approved, the guard is notified and the shift is shown under the confirmed shifts.
Additionally, you can use other feature of the scheduler, such as exchange shifts, request time off through mobile app , check time logs , time card, view approve payroll details , define availability.

STEP 4: Policy Acknowledgment (New in v8.3)
Guards are now required to acknowledge new or updated company policies in the mobile app before proceeding with shift duties.
How It Works:
- On login, guards will be prompted with policies that need acknowledgment.
- Each policy must be read and acknowledged.
- Access to app features is granted only after acknowledging all listed policies.

STEP 5: Perform a patrol as a Guard through the Mobile app
Here are the simple steps to perform a patrol as a guard using the GuardsPro Mobile app.
1. Clock In using the GuardsPro mobile app.
Clocking in and out is essential for recording the hours worked by guards and for GPS tracking. Therefore, please ensure you clock in and out during your shift patrol.
Once you have successfully logged into the app and confirmed the assigned shifts, navigate to the Home page and select the "Time Clock"
There are two ways to clock-in using GuardsPro mobile apps. You can clock-in based on your scheduled shift or you can also manually clock-in without having to select the scheduled shift.
Next, please select the Time Clock located on the bottom bar menu and click on Clock In. The next screen will list all the confirmed shifts for this day. Please select the shift which you want to clock-in for.
Note that there is a skip option on this screen. This option is only for those who are allowed to clock-in manually for the shift.
Next, the app will ask you to add notes for your clock-in entry if required by the admin. Simply add the notes if required and hit Submit.
Once you are clocked-in you will see the current timer running, you can take breaks during the shifts, view time log, and clock out from the same page.

2. Check into a post site on mobile app
The next step to start your patrol, is to check into the assigned post site. Follow these steps to check into the post site:
Click on the Post Sites tab located on the bottom bar menu to see a list of post sites assigned to you. Click on the post site to check-in and simply continue.
On the next screen click to check-in.
Once the guard check into the post site, the guards can access the site tours, check and acknowledge post orders, complete tasks on the mobile app, create pass down report, create reports, visitor logs and chat with admin or other guards checked in to the same post site using the GuardsPro messenger.

3. Submit reports through the mobile app
After checking into the assigned post site, you can further submit assign reports along with images and audio/video files when needed. To do this, navigate to the post sites tab in the bottom bar menu and click on the reports icon.
You can see a list of reports previously submitted or any drafts. Next, click on the Plus icon to select the report you want to submit.
Note, when you select an incident report, you can select multiple incidents at once and create the report.
Now go ahead and start adding the required details.
To add images, videos, or voice notes to the reports, click on the Plus icon at the bottom of the form, and choose the required option. Once this is done, hit Submit.
You can also save the report as a draft and send it later. You can check the approval status of the reports on the same page. Note that every report shared will be time and date stamped in the report details screens.
Further, you can also create pass down reports on the mobile app , complete a task on the mobile app.

4. Start a site tour on the mobile app
You can start the site tours through your mobile app by following these simple steps. Once you are checked in into the client's post site, select site tours.
A list of the assigned site tours is visible. You can start the site tour 5 minutes before the specified start time. Simply click on the Start Time and Duration tab to further get started.
On the assigned time, click on a site tour and simply hit Start. After you've started the tour, click on Scan to scan the QR, NFC, or Virtual tags placed at the post site, add a note, and hit Submit.
Once the site tour is complete and you've scanned all the tags, simply hit Complete and confirm. Also you will be able to identify the tags that are completed, missed and pending.

Note : When all the sent events by the mobile app are submitted in the web app in real time (i.e.
via Wi-Fi or mobile data), but even if there is no adequate internet connection at the
time, they will be stored locally and will be sent later on, when the internet
connection is established.
Step 6: Start Vehicle Patrolling through the mobile app
To start vehicle patrolling through mobile app, just navigate to the Home page and select the Vehicle Patrol.
Here, you will have access to a comprehensive view of all the vehicle patrol routes assigned to you, including detailed information such as the date, start and end time, total number of hits, and more.
Proceed by tapping on the desired vehicle patrol route that you wish to select, and then confirm.
To initiate the route, simply tap on Start Route and confirm.
You now have the ability to observe the current and remaining time for the vehicle patrol, displayed alongside the location on the map.
Just below this information, you will find the vehicle patrol description as well as the option to Navigate or Check In. To initiate the first hit, simply tap on Check In and confirm.
Upon checking in, you will notice a timer at the top of the page, indicating the overall duration of the hit. This timer will start counting down as soon as you complete the check-in process.
On this page, you also have access to various features and functionalities. You can acknowledge post orders, start a site tour, generate reports and create passdown, complete tasks and checklists, use panic button at the time of emergency, add visitor details, creates visits on mobile app and also utilize the parking manager feature, just as you would during any other patrol.
Once the timer reaches zero, simply tap on the Check Out option to conclude the first hit. Repeat the same process of checking in and checking out for each scheduled hit to complete the total number of hits assigned and the remaining hours are completed.
Once you have finished the necessary tasks and activities, tap on End Route to conclude and finalize the vehicle patrol. Ensure that you confirm your decision to end the route.
