The Clock In/Out feature allows guards to accurately record their working hours for each scheduled day at their assigned client location or post site. It provides a clear record of shift activity, including clock-in and clock-out times and breaks, helping maintain accurate time and attendance records.
Guards can clock in using the GuardsPro Mobile App in two ways:
Clock in via a scheduled shift – Select and clock in to a confirmed Scheduled shift.
Manual clock-in – If no shift is assigned, guards can clock in without selecting a scheduled shift, provided that manual clock-in is enabled by the admin or manager.
📌 Prerequisites
Before clocking in, make sure:
You are registered on the GuardsPro Mobile App and have joined your employer’s company on the Guard Mobile App.
A scheduled shift is assigned to you and confirmed by you through the GuardsPro Mobile App if you are clocking in for a scheduled shift.
Your device’s Location Services/GPS permission is enabled.
You must be within the geofence of the assigned post site if clock-in/out is configured to be based on the post site’s geofence.
Note: You must confirm your shift before you can clock in for a scheduled shift. Learn more about how to confirm regular and open shifts on the mobile app.
✅ This guide will walk you through the steps to clock in and out on the Guard Mobile App:
1. Steps to Clock In
- Open the GuardsPro Mobile App.
- From the bottom menu, select Time Clock.
- Tap Clock In.
Option 1: Clock In Using an Assigned Scheduled Shift
Use this option to clock in for a shift that has been assigned and confirmed.
- On the Time Clock Screen, you'll see all your assigned and confirmed shifts for the day
- Simply, tap the shift you want to clock in for.
- Review the shift details, including:
- Post site
- Start time
- End time
- Shift hours
- Breaks
- Tap Yes on the confirmation pop-up to clock in for the selected shift.
- If prompted, enter your clock-in notes.
- Tap Submit to complete the clock-in
- Once the clock-in is successful, your current timer starts running on the Time Clock screen.
Important: If you have an assigned scheduled shift, make sure you select and clock in using that shift. Do not use manual clock-in if you want your time log to be associated with the scheduled shift.
Option 2: Manual Clock-In
Use the Manual Clock-In option only when no shift has been created or assigned from the Scheduler module on the Back Office Dashboard, and your administrator has enabled Manual Clock-In for your account.
On the shift selection screen, tap Skip to Clock In Manually.
Follow the prompts to complete the manual clock-in.
Enter clock-in notes, if required.
Tap Submit to complete the clock-in.
Your time will be recorded as a manual time log entry.
Important: Manual clock-ins are not associated with scheduled shifts. If you have an assigned scheduled shift, always use the Scheduled Shift Clock-In option so your work hours are recorded against the correct shift.
Step 2 : After Clocking In
Once your clock-in is successful, the Time Clock screen lets you manage and track your shift in real time. From this screen, you can:
View your current work timer and elapsed work hours.
Start and end breaks during your shift.
View your latest Time Log entry, including whether you clocked in through a scheduled shift or a manual clock-in.
Important: Taking Breaks
Breaks must be started and ended manually from the Time Clock screen. They are not recorded automatically, so make sure to start and end each break to ensure accurate time tracking.
For detailed steps, see How to Take Breaks During Shifts on the Mobile App?
Step 3: Clock Out
Once your shift is over and you have completed all your assigned tasks, tap Clock Out to end your shift and record your total working hours.
Important: If clock-out is configured based on the geofence of the assigned post site, you must be within the post site’s geofence to clock out successfully.
📌Important Notes
Make sure Location Services/GPS and the required app permissions are enabled before clocking in.
If geofencing is enabled, you must be within the required geofence to clock in or out.
Disabling location permissions may prevent the app from properly verifying your location for clock-in or clock-out.
If you have an assigned scheduled shift, always use the scheduled shift clock-in option rather than manual clock-in.
🎯 That's it!
By using the correct clock-in method and keeping your location services enabled, you can ensure that your working hours and Time Logs are recorded correctly in the GuardsPro Mobile App.
