The Watch Report feature in GuardsPro allows users to monitor standard and custom reports and stay informed about report-related activities. By adding a report to the watch report list, the user watching the report can receive notifications about changes, comments, and updates, helping them stay up to date with important information.
This feature also improves team collaboration by allowing users to see who else is monitoring a report. Users can easily start or stop watching a report using the eye icon available next to it on the Back Office Dashboard.
π Prerequisites
Before using the Watch Report feature on the GuardsPro Back Office Dashboard, ensure that:
You have permission to view Custom Reports to access the Watch Report feature.
The report you want to monitor is available in the Reports section.
Custom Reports are standard and incident reports can be added to the watch list.
β This guide will walk you through the steps to add a report to the watch report on the Back Office Dashboard:
πΉ Step 1: Navigate to the Reports Section
Log in to your GuardsPro Back Office Dashboard.
From the main navigation menu on the left-hand side, click Reports.
Browse the available reports and locate the report you want to monitor.
ποΈ Step 2: Add a Report to the Watch List
Locate the eye icon (ποΈ) displayed next to the report you want to monitor.
Click the eye icon to start watching the report.
Once enabled, you will be added to the list of users watching that report.
You can now stay informed about report activity through notifications for changes, comments, and updates.
π₯ Step 3: View Other Users Watching the Report
To check who else is monitoring a report:
Locate the eye icon next to the relevant report.
Hover your mouse over the eye icon.
A tooltip will appear displaying the names of the users currently watching the report.
This helps you identify which team members are following the report and improves visibility across your team.
π Note: You can view the names of other users watching a report only if you are also watching the same report. If you are not watching it, the list of users watching that report will not be visible to you.
π Note: Once you start watching a report, you may receive notifications about comments, edits, and other relevant updates via email and the GuardsPro Dashboard. To stop receiving these notifications, navigate to the report under the Reports section and click the ποΈ eye icon again to stop watching it.
π Permissions: Back Office Users only need View Custom Reports permission to access the Watch View feature. No additional permissions are required to use this feature or receive report-related notifications.
π Additional Report Actions
From the same Reports screen, you can also use the following features:
Flag a Report: Mark a report for attention or follow-up. For more information, refer to How to Flag Reports on the Back Office Dashboard.
Generate a Report Link: Generate a link to the report for convenient access. For more information, refer to How to Generate a Link to a Report.
π― Thatβs it! The Watch Report feature makes it easier to monitor important reports, stay informed about report activity, and improve collaboration among team members. By following these steps, you can add reports to your watch list, view other watchers, receive relevant notifications, and stop watching reports whenever needed.
