How to create new routes in vehicle patrol on the Back Office Dashboard?

The Vehicle Patrol feature in GuardsPro helps security companies efficiently manage and monitor patrol operations. It enables admins to create and assign patrol routes to guards operating in vehicles, track their movements in real time, and ensure all designated checkpoints are covered during a patrol shift. With this feature, managing patrols becomes more organized, transparent, and reliable.

✅ This guide will walk you through the steps to create new routes in vehicle patrol on the Back-Office Dashboard:

🧭 Step 1: Access Routes

• From the main menu, click on Vehicle Patrol.

• Select Routes from the drop‑down menu.

• You will see a list of existing routes.

• To add a new one, click on New Route.

📝 Step 2: Enter & Configure Route Details

• Add the Name and Description of the route.

• Configure the Route option according to your requirements:

  • Scheduled Route: Disable the Continuous Route option to schedule the route for a specific date range. You can also define the start time and end time for the selected days.

    Please Note: The start and end time fields are set by default from 12:00 AM (midnight) to 11:59 PM. Please adjust these values according to your required schedule.

• Continuous Route: When enabled, you can select the days on which guards can conduct patrols at any time without any scheduled restrictions.

👥 Step 3: Assign Guards & Post Sites

• Use the Guard Filter to refine the list of guards based on their assigned Department, Skill Set, or Category before assigning them below.

• Assign one or multiple guards to the route.

  Please note: Before assigning guards, ensure they are assigned to all the required post sites. If a post site is not assigned to a guard, it will not appear in the post site list below.

• Select the Post Sites where patrols will take place.

• Define route details:

  • Number of hits

  • Duration for each hit

  • Scheduled hit times (if enabled)

• You can also shuffle post sites randomly for added unpredictability or sort them by distance for better efficiency using the options available in the top-right corner above the post site route list.

🚙 Step 4: Add Vehicle & Instructions

• Select a vehicle for the route, or click Add Vehicle to create a new one.

• Enter the required vehicle details and click Add.

• Add any special instructions for guards.

⚙️ Step 5: Configure Settings & Save

Enable or disable advanced settings as needed, such as:

• Sync hits between guards – Ensures that patrol hits recorded by one guard are synchronized across all guards assigned to the same route, maintaining consistency in reporting.

• Force guard to follow route in order – Requires guards to complete patrol points in the exact sequence defined, preventing skipped or out‑of‑order hits.

• Send scheduled hit start notification – Automatically notifies guards before a scheduled hit begins (default: 15 minutes prior), helping them stay on track.

• Auto Check‑In/Out based on geofence – Uses geofencing to automatically check guards in or out of post sites when they enter or leave the geofence, reducing manual input.

• Enforce clock‑in before starting route – Prevents guards from beginning a patrol route unless they have properly clocked in, ensuring accountability and accurate time tracking.

• Once all details and settings are configured, click Submit to finalize the route.

• Alternatively, you can Cancel or choose Save Draft to store your progress and return later without losing data.
