The Archive Guard feature on the Back-Office Dashboard allows administrators to archive inactive or former guards without permanently deleting their records.
Even after a guard is archived, important historical data such as time logs, reports, patrol activities, payroll records, and activity logs remain accessible whenever needed. This feature helps keep the active guard list organized while preserving essential records for audits, payroll verification, incident investigations, future reference, and subscription management costs. By using the archive functionality, organizations can efficiently manage employee records without losing important historical information. And it's also helpful to manage your subscription cost as well.

Once a guard has been archived from the active guard list, their historical data can still be retrieved from different modules and features (such as data for time log entries, check in/out reports, site tour reports, task reports, GPS Tracking history, generating the payroll, schedules, guard activities, and many more within the system.
For example, to retrieve reports for an archived guard. Navigate to the Reports section, then select the desired report type, such as the Hourly Report.
Click on the Filter option. Select the required post site if you want to retrieve data for a specific location. Now enable the Show Archived Data checkbox.
Once enabled, the archived guards will appear in the guard list. Select the archived guard whose data you want to retrieve. Choose the required date range and click on Filter to generate the report.
Note: You must first enable the Show Archived Data option before selecting the archived guard from the list.
Similarly, you can retrieve other archived guard data, including: Time log entries, Check-in/check-out reports, Site tour reports, Task reports, GPS tracking history, Payroll records, Schedules, Guard activities, and many more.
Additional Notes
- If logs or reports are permanently deleted from the system, they cannot be restored.
- Archiving a guard does not permanently delete associated records.
- Only users with the appropriate permissions can access archived guard information.
