Managing assets efficiently is essential to maintaining smooth operations and accountability within your organization. The Assets section in the GuardsPro Back Office Dashboard allows administrators and supervisors to view comprehensive asset information in one centralized location.
This feature helps you monitor asset status, track assignments, review history, and ensure accurate record-keeping. Whether you are managing company equipment, site-specific tools, vehicles, or any other operational resources, the Asset Details view provides complete visibility and control.
✅Step-by-Step guide to view Asset details on the Back Office Dashboard :
Log in to your Back Office Dashboard. From the main menu at the bottom of the page, click on Asset Management. A dropdown menu will appear—select Assets.
You will then see a list of all assets added to your account on the following screen. Click on the specific asset to view its detailed information. You can also use this screen to add a new asset to your account.
Overview Section
The next page opens with the Overview section, displaying complete details of the selected asset. This includes information such as the Asset Name, Description, Asset Tag ID, Category, and additional details like Purchase Date, Purchase Order Number, Unit Price, Warranty Expiry Date, Vendor, and other relevant information.
Notes Section
In this section, you can view all notes associated with the asset, including the Title, Date, and Added By details.
Click New Note (top right) to create a new note. You can enter a title, add detailed information, and attach a file if needed.
Click on any note to expand and view its complete details and attachments.
Use the three-dot menu next to a note to Edit or Delete it.
Use the search bar to quickly locate specific notes.

Assign Section
The Assign tab allows you to assign the asset to a Guard or a Post Site and track its assignment history.
Here, you can view details such as Assignment Type, Name, Date, and Return Due Date.
Select the Assignment Type (required), choose the relevant Guard or Post Site, set a Return Due Date (if applicable), and add any notes and confirm.
Use the three-dot menu next to an assignment to Unassign or return the asset when needed.
All assignments are recorded for easy tracking and reference.
Status Log Section
The Status Log tab allows you to track and manage the asset’s status history (e.g., In Progress, Completed, Maintenance, etc.).
Here, you can view details such as Status Name, Quantity, Date, and Added By.
Click Add Status (top right) to update the asset status.
Select the Status (such as lost, Dispose, Donate, Broken, stolen, sell etc), choose the Selected Date (required), and add any relevant notes.
Click Submit to save the status update.
Use the three-dot menu next to a status entry to Edit or Delete it if needed.
In the Update Asset Status panel, you can modify the Selected Date, add update Details, enter or revise the Cost of Service (if applicable), set the Next Service Date, add Vendor information, and include any additional Notes as needed.
Once you have made the necessary changes, click Submit to save the updated status.
All updates are automatically recorded to maintain a complete and accurate history of the asset.
