The Asset Management module in the GuardsPro Back Office Dashboard allows administrators to efficiently track, manage, and monitor company assets from a centralized interface. It provides detailed visibility into asset assignments, locations, status, and usage history, while allowing assets to be linked to specific guards or post sites. All records are securely maintained for operational reference, audits, and reporting, ensuring better control and accountability across your organization.
✅ Step-by-Step guide to create and import an asset on the Back-Office Dashboard:
Log in to your Back Office Dashboard. At the bottom of the main menu, select Asset Management. From the dropdown click Assets. On the following screen, click the New Asset button (with the + icon) to create a new asset.
On the next screen, enter the required details to create a new asset.
Field Descriptions :
1. Asset Name * : Enter a clear and identifiable name for the asset (e.g., Handheld Radio – Unit 01).
2. Asset Tag ID * : Provide a unique identification number or tag for the asset. This helps track and manage assets efficiently.
3. Description : (Optional) Add a brief description with additional details about the asset, such as condition, model, or usage.
4. Category * : Select the appropriate asset category from the dropdown (e.g., Electronics, Vehicles, Equipment). Categories help organize assets for reporting and management.
5. Purchase Order No : (Optional) Enter the purchase order number associated with the asset, if available.
6. Unit Price : (Optional) Specify the purchase price of the asset for internal tracking and reporting.
7. Warranty Expired Date : (Optional) Select the warranty expiration date using the calendar icon.
8. Vendor : (Optional) Choose the vendor or supplier from whom the asset was purchased.
9. Purchase Date : (Optional) Select the date when the asset was purchased.
10. Entry Type * : Select the entry type from the dropdown. This defines how the asset is added or tracked in the system.
11. Asset Images : (Optional) Upload one or more images of the asset for better identification and record keeping.
Once all the details are added, click Submit to create the asset. That’s it—your new asset will be added to your account successfully. ![]()
Import Assets in Bulk
Further, you can import multiple assets at once by uploading a CSV file. To do this, click on the three-dot menu next to the Filter button and select Import Assets option.
Before uploading your asset list, please review the important guidelines to ensure the file is formatted correctly and the import process is completed smoothly without errors.
⚠ Important Note: Make sure all required fields are filled correctly. Invalid or unsupported values may cause the import to fail. Follow the template structure strictly to avoid errors.
Once your assets are added—either individually or in bulk—you can efficiently manage, assign, track, and monitor them within GuardsPro.
