How to add a reminder for guards on the Back Office Dashboard?

The Reminder feature in GuardsPro is designed to help guards stay on top of their assigned tasks, deadlines, and follow‑ups. Admins can easily schedule automated reminders through the dashboard to ensure guards are notified of important actions.

Whether it’s a shift confirmation, license renewal, report submission, or any other operational requirement, this feature helps prevent anything from being missed.

Reminders are delivered directly to the GuardsPro mobile app, keeping guards informed, organized, and on track.

📌 Prerequisites

• Only Super Admin, Admins, and authorized users with the necessary permissions can create and manage reminders.

• Ensure the guard’s profile exists in the system before adding reminders.

• Reminders must be scheduled for future dates to notify guards properly.

✅ This guide will walk you through the steps to add a reminder for guard on the Back Office Dashboard:

👮 Step 1: Navigate to Security Guard

• Go to the Security Team section from the main menu.

• Select Security Guards.

• From the list of guards, choose the guard for whom you want to create a reminder.

📂 Step 2: Open Reminders Tab

• In the submenu, click on Reminders.

• Select Add Reminder to create a new one.

📝 Step 3: Enter Reminder Details

• Fill in the required fields, including Title, Description, Date, and Time, assign it to the appropriate Guard, set the Priority, and provide any other necessary information.

• Once completed, click the Save button at the bottom of the screen.

⚠️ Note: Ensure the selected date is a future date so the guard receives a timely reminder for scheduled tasks, shift check‑ins, license renewals, report submissions, or other requirements.

• Click on a reminder entry to view details such as; Description, Added Date, Remind, Attachments, Comment.

• Use the Action button to delete multiple reminders.

• Use the Search button to quickly locate reminders.

• Use the Filter button to filter reminders by criteria.

• Use the three‑dot (⋮) menu to edit or archive reminder entries.
