How to archive, restore, and remove a guard from the Back Office Dashboard?

Managing guards in GuardsPro is simple and efficient. Admins can archive inactive guards, restore them when needed, or permanently remove them from the system.

Archiving ensures historical data is retained for future reference, while removing a guard deletes their profile and all associated data permanently. This helps maintain accurate and up‑to‑date personnel records across your organization.

📌 Prerequisites

Before archiving, restoring, or removing guards, ensure:

• You have admin access to the GuardsPro Back Office Dashboard.

• Guards are already added to the system or archived.

• You understand the difference: Archive = retain records, Remove = permanent deletion.

✅ This guide will walk you through the steps to archive, restore, and remove a guard from the Back Office Dashboard:

👥 Step 1: Access Security Team

• From the main menu, click on Security Team → Security Guards.

• You will see a list of all guards registered in the system.

📂 Step 2: Archive a Guard

• Click on the three‑dot menu (⋮) next to the guard’s name.

• Select Archive → the guard is moved to the Archived Guard list.

👉 To archive multiple guards:

• Select guards by checking the box next to their names.

• Click on the Actions dropdown (top‑left).

• Choose Archive → all selected guards move to the archived list.

🔎 Step 3: View Archived Guards

• Click on Filters (top‑right corner).

• Under Status, select Archived → click Submit.

• This displays all archived guards.

♻️ Step 4: Restore or Remove Guards

• From the archived list, click the three‑dot menu (⋮) next to a guard’s name.

• Choose Restore → guard becomes active again.

• Or choose Remove → guard profile and data is permanently deleted.

👉 To restore/remove multiple guards:

• Select guards by checking the boxes.

• Click on the Actions dropdown (top‑left).

• Choose Restore or Remove.

• Remove = permanently deletes the guard and their data, which cannot be recovered.

• Archive = revokes the guard’s access to the company while retaining their historical data for future reference.
