The Bulk Shift Assignment feature on the GuardsPro Back Office Dashboard empowers back-office users to assign multiple vacant or client-requested shifts in just a few clicks. This not only saves valuable time but also reduces manual effort and ensures guards are scheduled seamlessly.
With this feature, you no longer need to assign shifts one by one. Instead, you can select specific shifts or assign them all at once for faster scheduling. Handling multiple assignments together helps minimize errors, improve accuracy, and enhance coordination between clients, the back office, and guards.
✅ Step-by-Step Guide to assigning shifts in bulk on the back office dashboard
On the Back Office Dashboard, go to the left-hand menu and click Scheduler, then select Schedule.
In the schedule view, click the three vertical dots in the top-right corner to open additional options. From the dropdown menu, select Assign Bulk Shift to open the bulk shift assignment window.
In the pop-up window, check the box next to each shift you want to assign.
For each selected shift, choose:
- Shift Type (Standard or Open)
- Assign a guard for the standard shift, as for open, define the number of guards and set breaks if needed
Once all details are filled in, click either:
- Assign – to assign the shifts without making them live
- Assign & Publish – to assign and publish the shifts immediately
💡 Additional tips or notes
Only vacant shifts and client-requested shifts from the Client Web Portal are eligible for bulk assignment—regular assigned shifts must be managed individually.
Ensure the post site setting “Automatically publish open shifts requested by the client” is disabled in the Back Office dashboard.
Select Assign & Publish only when the shifts are finalized and ready to be shared with the guards.
To avoid conflicts, make sure guards aren’t already scheduled for overlapping shifts.
