The shift exchange feature allows the guards to exchange their assigned shifts with other security guards. Depending on the preference, the admin can choose to manually approve the shift exchange requests or set requests to be approved automatically.
In case the shift exchange request is rejected, the requesting guard stays responsible to be present on the post site at the scheduled time for the shift.
Managing Shift Exchange Manually
If you choose to manually manage the shift exchange requests, the request needs to be approved by the admin as well, after it is accepted by the receiving guard.
To accept or reject a shift exchange request, click on the Scheduler on the main menu and select Shift Exchange from the drop-down. You see a list of all the requests made by the guards. The default status for a new request is shown as pending.
You can click on the entry to view details. To approve or reject the request, click on the three dots and select the appropriate option from the drop-down menu. The guard is automatically updated about the status of the request on his GuardsPro Mobile App.
Enabling Auto-Approval For Swap Shifts
When you have a bigger guard workforce, accepting or rejecting individual requests manually may not be possible. In this case, you can enable auto-approval for shift exchange, where the requests sent by one guard can be accepted by the other, without the need for the admin to approve the same.
To enable the setting, click on your company name at the top right corner of the dashboard and then select the Settings from the dropdown menu. Under Global Settings, click on Security Guards, go to the Scheduler tab, and select the option "Allow guard to exchange shift without approval" and save the settings.
This setting will apply to all the shift exchange requests made in the future.
