Open shifts are a convenient way to handle last-minute staffing needs while also giving guards the opportunity to pick up extra hours based on their availability.
This feature allows you to create shifts that are open to all eligible guards. Guards are notified about these open shifts through the GuardsPro mobile app, where they can view, select, and accept the shifts they wish to work. Additionally, back-office users can review and approve these accepted open shifts through the dashboard.
✅Here's a step-by-step guide to create an open shift for security guards from the Back-Office Dashboard:
Start by clicking on the Scheduler tab from the main menu and selecting Schedule from the drop-down. Further, you can use the available filters to view schedules by client, post site, guard, shift type, status, or a custom date range.
Next, click on the specific date for which you want to schedule a shift, then click the + (plus) icon and select Create Open Shift. You can either create a new open shift from scratch or choose a previously saved shift template to make the process quicker and more efficient.

On the next screen, enter all the required shift details, including the shift title, start and end time, and other relevant information. Make sure to select Open Shift under the shift type and specify the number of guards required for the shift.
Once all details are filled in, click Publish to instantly notify guards via the GuardsPro mobile app, allowing them to view and claim the shift. Alternatively, you can click Create to save the shift as a draft and publish it later when needed.

Note: You can enable the “Automatically assign and confirm open shifts” option from the Global Settings for security guards. When enabled, guards can claim and confirm open shifts on a first-come, first-served basis.

Managing Unconfirmed Open Shifts
In some cases, an open shift may remain unclaimed. If this happens, you can manually assign the shift to a guard.
To check the status of open shifts:
- Go to the Scheduler tab from the main menu.
- Select Open Shifts from the dropdown.
From there, you can view which shifts have been confirmed and identify any that are still pending. You can also review and approve the requests submitted by guards for open shifts from this screen.
If the shift has not yet been confirmed, go to the Scheduler tab and select Schedule. Locate the unconfirmed shift, click on the three dots (⋮) next to it, and choose Edit.

Now, simply change the shift type from Open to Standard, select the appropriate post site, and assign the guard(s) to the shift. Then click Publish or Update.
