Vacant shifts give administrators the flexibility to create shifts for future dates without assigning them to a guard upfront. This is especially useful when staffing is still being finalized, when handling last-minute absences, or when preparing standard shifts for available guards.
Unlike regular shifts, vacant shifts are visible only to administrators and not to guards. Administrators can later choose to assign a guard, publish the shift, or discard it if it is no longer needed.
By creating vacant shifts from the dashboard, supervisors and operations managers can maintain accurate schedules, clearly identify coverage gaps, and fill shifts quickly without disrupting the overall roster.
Note: Only users with appropriate dashboard access or user role (such as Admins, Operations Managers, or Supervisors) can create vacant shifts from the back-office dashboard.
✅Here's a step-by-step instruction to create vacant shifts on the Back-Office Dashboard:
From the main menu, click on the Scheduler tab and select Schedule from the drop-down. Choose the date for which the shift needs to be created, then select the appropriate shift template. Finally, choose the type of shift you want to create.
Enter all the required shift details, but leave the guard field unassigned. Click Create to save the shift. The vacant shift will then appear on the schedule highlighted in red, indicating that it is currently unassigned.

If you want to edit the vacant shift, click on the three dot icon and select Edit from the dropdown menu, make the necessary changes and click on Update.

To publish the shift simply assign the shift to the guards to the defined post site and click on Publish. The assigned guards will be notified about the assigned shift on their GuardsPro Mobile App.

Note: You can create a vacant shift for up to six months in advance, but every shift has to be assigned to guards and then published individually.
