Managing employee time-off efficiently is essential for smooth scheduling and workforce coordination. GuardsPro makes this process simple by allowing both guards and admins to submit and manage time-off requests seamlessly.
With this feature, guards can request paid or unpaid time off directly through the GuardsPro Mobile App, while admins can add and approve requests quickly from the Back-Office Dashboard. Approved time-off entries automatically reflect in the scheduling module, helping prevent shift scheduling conflicts.
✅Here's a step-by-step instruction to manage time off requests from the Back-Office Dashboard:
Adding Time-Off request from the back office dashboard in just a few easy steps:
Log in to the GuardsPro Back Office dashboard. Next, navigate to the Scheduler tab in the left-hand menu and select Time Off. Click New Entry to create a new time-off request.

Enter all required details, including: Guard name, Paid or Unpaid leave type, Start and End Date, Reason, Notes (optional). Click Add to submit the request.

Note: Requests added by admins are automatically approved. To edit, reject, or delete a request later, click the three dots (…) next to the entry and choose the appropriate action.
Manage Existing Time-Off Requests :
You can approve, reject, or delete multiple requests at once. Simply check the box to select one or more requests, then click the Action dropdown at the top of the screen and choose one of the following options:
Approve – Approves the selected request(s)
Reject – Declines the request(s)
Delete – Permanently removes the request(s) from the system
Once an action is completed, the guard will be notified via the GuardsPro Mobile App, and the request status will update automatically in the Back-Office Dashboard.
Edit, Delete, or Reject a Single Time-Off Request
Locate the request you want to modify.
Click the three-dot menu (⋮) on the right side of the request.
Choose one of the available actions:
Edit – Update the request details
Delete – Remove the request from the system
Reject – Decline the guard’s time-off request
After performing any action, the guard will automatically receive a notification in the GuardsPro Mobile App, and the request status will update in real time on the dashboard.
📤 Emailing or Exporting time off request list
For easy sharing and record-keeping, you can quickly email or export reports to clients or members of your security team.
Email Report:
Select the desired time off request of your guard , click the three dots next to the Filters option, then choose "Email Report."
Select the attachment format (PDF or Excel), enter the recipient’s email address(es), and click "Send."Export Report:
Click the three dots next to Filters, then select "Export as PDF" or "Export as Excel."
The report will be automatically downloaded to your system.
📝 Note: If you select more than 20 request, the system will process your request and send you an email with a download link instead of downloading them instantly.
