Last-minute client requirements can be unpredictable, and there are times when guards are urgently needed at specific post sites, making it challenging to coordinate availability individually.
GuardsPro simplifies these situations with Open Shifts, which can be created and published quickly. Available guards are notified and can pick up shifts based on their availability. This ensures urgent staffing needs are met efficiently while also giving guards the opportunity to earn additional hours.
✅Here's a step-by-step guide to view open shifts on the Back-Office Dashboard:
You can view open shifts by navigating to the Scheduler tab from the main menu and selecting Open Shifts from the dropdown. Use the Filters option to refine and extract the required data, and the list of open shifts will be displayed on the next screen.

📋 Understanding Shift Status
The list displays all open shifts along with their current status:
Pending – A guard has requested approval
Filled – Indicates that the shift has been approved by a back office user and successfully assigned.
To approve a guard’s request, click the Pending button next to the guard’s name and confirm the action.
Note: Guards can only start their scheduled shift after their request has been approved.

⚙️ Automatic Assignment Option
You can enable the “Automatically assign and confirm open shifts” option from Global Settings.
When enabled, guards can claim and confirm open shifts on a first-come, first-served basis, eliminating the need for manual approval. The shift is automatically assigned to the guard who accepts it first through the mobile app.
Further, If a shift has not yet been confirmed by any guard, you can manage it directly from the Schedule by assigning it to a specific guard. This ensures that all shifts are properly covered and executed as planned.
