The Messenger feature in GuardsPro allows admins, back-office users, and guards to communicate in real time. By associating a conversation with a specific post site, you can keep communication focused on that location and easily share relevant updates, instructions, and attachments with the appropriate guards.
A post site-specific conversation can be created as an individual chat or a group chat, depending on who you need to communicate with.
π Prerequisites
Before you begin, ensure that:
- You have access to the Messenger module.
- The Messenger module is enabled for your company.
- The required post site and users are already available in GuardsPro.
β This guide will walk you through the steps to create a post site-specific chat on the Back Office Dashboard:
π§ Step 1: Navigate to Messenger
- Click Messenger from the main menu on the dashboard.
- Click Add New and select New Message to start an individual chat or New Group to create a group chat.
π₯ Step 2: Select the Post Site and Users
If you select New Message:
- Select the back-office user or guard you want to start a conversation with.
- On the next screen, select the Post Site or use the search bar to find the required post site by name. Please do not use the Skip button.
If you select New Group:
- Enter a name for the group in the Group Name field.
- Select the relevant Post Site.
- Select the users you want to add to the group.
β οΈ Note: Only guards assigned to the selected post site can be added to the post site-specific conversation.
π¬ Step 3: Type and Send a Message
- Type your message in the chat window and send it.
- You can also attach multimedia files, such as images, audio, or video, as needed.
- Messages will be available to the users included in the conversation.
π Step 4: Manage the Conversation
You can manage the conversation by clicking the three-dot menu in the top-right corner of the chat window. From here, you can:
- Activate One-Way Conversation.
- Archive the conversation.
- For group chats, you can also view Chat Details or Leave Group.
π― Thatβs it! You can now create a post site-specific individual or group chat in Messenger to keep communication organized and relevant to the selected post site.
