The Dispatcher module in GuardsPro allows admins and dispatchers to create, manage, and track dispatch tickets from a centralized dashboard. It allows users to effortlessly manage dispatch calls from any client site, record incoming calls, capture essential details such as the call source, caller information, incident description, and actions taken, and assign one or more guards to respond in real time.
With live chat updates, dispatchers can monitor each guard's progressโfrom acknowledging the dispatch to arriving on site. By keeping all dispatch information in one place, the module improves team coordination, speeds up emergency response, and maintains a complete record of every dispatch for future reference.
๐ Prerequisites
Before you begin, ensure the following requirements are met:
You have permission to access the Dispatcher module.
The Dispatcher module is enabled for your company.
The required clients, post sites, and guards have already been created.
โ This guide will walk you through the steps to create a dispatch ticket from the Back Office Dashboard:
๐งญ Step 1: Open the Dispatcher Module
From the main menu, click Dispatcher and select Dispatch Tickets. On the Dispatch Tickets page, click New Dispatch in the top-right corner to create a new dispatch ticket.
๐ Step 2: Enter the Dispatch Ticket Details
On the New Dispatch page, complete all the required fields.
This includes:
Basic details:
Client & Post Site โ Select the client and the post site related to the dispatch.
Assign Guard โ Assign one or more guards to the dispatch ticket.
Priority โ Select the appropriate priority level.
Caller Type & Caller Name โ Specify who reported the incident and enter their name.
Incident Details โ Enter the incident location, incident type, date and time, and a detailed description of the incident.
Additional Details:
Action Taken โ Record any immediate actions already taken.
Internal Notes โ Add any internal notes for reference, if required.
Upload or drag and drop files into the section below to add them to the ticket.
Ensure that all required fields (marked with * ) are completed accurately before submitting the ticket.
After reviewing all the information, click Submit.
The assigned guard(s) will immediately receive the dispatch ticket on the GuardsPro Mobile App, allowing them to respond promptly and provide updates throughout the incident.
๐ Step 3: Manage the Newly Created Dispatch Ticket
After the ticket has been created, you will be redirected to the Dispatch Tickets page, where the latest dispatch ticket is displayed at the top of the list with its current status.
Click the three-dot menu next to the ticket to perform additional actions, including:
View Details
Generate a temporary shareable link
Edit
Close Ticket
Delete
๐ฌ Step 4: Monitor the Dispatch Ticket
Open the dispatch ticket to review its details and monitor its progress.
You can view the assigned guard's live location on the map while the dispatch ticket is active.
You can view the ticket details, monitor the assigned guardโs status, and communicate with the guard through the built-in chat, allowing both the dispatcher and guard to share updates throughout the incident.
