Breaks allow back-office users to define when and how guards can take breaks during their scheduled shifts to the client site. GuardsPro lets you configure paid or unpaid breaks, set the break duration and frequency, assign breaks to specific guards, and choose whether breaks start automatically or manually.
๐ Prerequisites
Before creating a break, make sure:
You have access to the Back Office Dashboard.
You have the required permissions to add and manage Time Clock > Breaks.
The break details you want to configure, including the break type, duration, frequency, and applicable guards.
โ This guide will walk you through the steps to define breaks for the time clock on the Back Office Dashboard:
Step 1: Open the Breaks section
Log in to the Back Office Dashboard.
From the left-side menu, select Time Clock.
Select Breaks from the drop-down menu.
Click New Break to create a new break.
The Breaks page also displays all previously created breaks.
Step 2: Enter the break details
Enter the required break information:
Break Name โ Enter a name to identify the break.
Break Type โ Select whether the break is Paid or Unpaid.
Duration โ Specify how long the break should last, such as 10 minutes, 15 minutes, 30 minutes, or 1 hour.
Number of Times โ Specify how many times the guard can take the break during a shift.
Guard โ Select one or more guards to whom the break should apply.
Step 3: Configure Break Start Options
You can choose how guards start their breaks based on your requirements.
Option 1: Auto Start
Enable Auto Start if you want the system to automatically start the break after a specified number of hours from the beginning of the shift.
When configuring Auto Start, you can:
Specify when the break should automatically start, such as 3 hours or 4 hours into the shift.
Select the days on which the break should apply.
Prevent the guard from ending the break before the configured break duration has been completed.
Important: The Auto Start option automatically starts the break, but it does not automatically end the break in the GuardsPro Mobile App. The guard must manually end the break from the mobile app once the configured break duration has been completed.
Option 2: Allow Guards to Manually Start and End the Break
Enable Allow Guard to Manually Start and End the Break if you want guards to manually start and end their breaks from the GuardsPro Mobile App.
Once you have configured the break:
Review the break settings to make sure all details are correct.
Click Add to save the break.
The newly created break will appear in the Breaks list and will be available to select when creating or scheduling a shift in the Scheduler.
Step 4: Manage an Existing Break
You can edit or delete an existing break whenever required.
Locate the break you want to manage.
Select the checkbox next to the break.
Click the Action drop-down
Select Delete to permanently delete the selected breaks in bulk.
Alternatively, click the More (โฎ) icon next to the break.
Select the required action:
Edit โ Update the break settings or other break details.
Delete โ Remove the break when it is no longer required.
Important: Deleting a break permanently removes it from the system and it cannot be retrieved. Once deleted, the break will no longer be available for future shift configurations.
