The Deposit Amount feature in the Estimate module allows you to request a partial payment from customers while creating or editing an estimate. This ensures that a portion of the total amount is collected upfront before the service is confirmed.
A deposit represents a predefined portion of the total estimate that must be paid in advance. It is typically set as a fixed amount (e.g., $500) and is required before the estimate can be marked as accepted. Collecting a deposit helps secure bookings, improve commitment, and reduce last-minute cancellations.

✅This guide will walk you through updating the deposit amount to an estimate on the Back-Office Dashboard :
From the main menu, navigate to Invoicer and select Estimates. On the next screen, click New Estimate to create an estimate for your client.
Enter or update the required details, then scroll to the bottom-right section and click the “+ Request Deposit” option.
Enable the checkbox “Require customer to pay deposit online before marking it as accepted.”
Next, enter the deposit amount, then click Save and Continue, or choose to Save as Draft or Preview the estimate as needed.
Once the deposit payment is received from the client, you can mark the deposit amount as “Paid.”
To do this, open the relevant estimate from the list, click “Mark as Paid” to manually update the deposit status, and confirm the action in the pop-up window.
Now, the deposit status will update to Paid and that's it. This is how easy it is to add and manage a deposit in an estimate using GuardsPro.
Best Practice
The deposit feature is optional and can be enabled or disabled for each estimate.
You can update the deposit amount at any time by editing the estimate.
Use clear, rounded amounts (e.g., $100, $500).
Clearly communicate deposit terms in the Notes section.
