How to turn on auto email reports for a client on the Back Office Dashboard?

The manual process of creating and sharing reports is often labor-intensive and susceptible to mistakes. This is where Auto Email Reports step in. GuardsPro provides a user-friendly and effective solution for establishing an automated email system that effortlessly sends in-depth reports to the appropriate recipients at the scheduled times, covering multiple post sites simultaneously

First, click on Clients on the main menu and then select Clients. You see a list of clients added to the system. Next, click on the client you would automate email reports for.

Now, click on Email Reports. Here you will be able to see all the email recipients added with the frequency set to automatically send the reports. To add a new email, click on Add New Email. 



Select the post sites, add new email recipients, and set the frequency to immediately, once a day, or weekly. Select the reports you want to send and click save setting and that’s it.

Set the report frequency : 

• Immediately: Reports will be emailed to recipients as soon as they are submitted by guards from the mobile app.
• Once a day: Only approved reports will be sent to recipients. If you select this option, you can set a specific delivery time. Please note that if the DAR is configured for a 24-hour period (e.g., 7:00 AM to 7:00 AM) and is scheduled to be sent at 7:05 AM, it will only include data from 7:00 AM to 7:05 AM.

To receive the complete 24-hour report, please update the schedule in the following format:

• • SEND REPORT AT:   Sep 24, 2024 07:00 AM
  • DAR FROM:               Sep 23, 2024 07:01 AM
  • DAR TO:                    Sep 24, 2024 06:59 AM

You can also adjust the report frequency according to the post site’s schedule.

• • Weekly: Reports will be compiled and sent once a week based on your selected schedule. Please note that only approved reports will be sent to recipients.

To edit, delete or deactivate the frequency set for auto email, simply go back to the previous screen and click on the three dots to edit or delete.
