How to view and manage visits on the Back Office Dashboard?

The Visits section in GuardsPro brings together all visitor and vehicle activity recorded at post sites. When guards record a visit through the Guard Mobile App, the visit details are automatically reflected on the Back Office Dashboard, giving back-office users clear visibility into site activity.

From the back office dashboard, users can review and manage visit records, check relevant visitor and vehicle details, and access historical visit information for monitoring and reporting.

📌 Prerequisites

Before viewing or managing the visits in the visitor manager, make sure:

• The Visitor Manager module is enabled for your company.

• You have permission to access the Visitor Manager module.

✅ This guide will walk you through the steps to view and manage visits on the Back Office Dashboard:

🧭 Step 1: Open Visitor Manager

• From the main menu, click on Visitor Manager → Visits.

• Click on any visit log to open the expanded view.

👤 Step 2: View Expanded Visit Log

• Here, you can see:

  • Whom the visitor came to meet

  • The reason for the visit

  • Time‑in and time‑out notes

  • The location/post site where the visit took place 

  • The guard who checked the visitor in and out

🔎 Step 3: Filter, Search & Manage Logs

• Use filters or the search option to quickly find specific visit logs by client, post site, guard, or date range.

• Using the Action button, you can delete visit logs if required.

⚠️ Note: Once a visit log is deleted, it is permanently removed from the system and cannot be recovered.

📤 Step 4: Export or Share Reports

• Right next to the filter, you’ll find the three‑dot menu. From here, you can:

  • Export as PDF

  • Export as Excel

  • Print the report

  • Email the report directly to your team

• Clients can also view the same details in real time via the GuardsPro Client Portal (if client access is enabled).
