GuardsPro's Custom Reports feature allows you to define the criteria for the reports based on your reporting requirements or as may be requested by the clients. You can use the custom reports to call for any specific information from the post sites.
The very first step is designing the custom report template where you can define what information you want from the guards on the client post site.
Custom reports are post-site specific, meaning that they have to be designed separately for individual client sites.
You can create custom reports in a few simple steps.
Click on your company name on the top right corner of the dashboard and select Settings from the drop-down.
On the custom reports tab, click on New Custom Report.
On the screen that appears next, start adding the required details.
To design the form, drag a field from the right to the Design Form area.
You need not use all the fields at once, you can pick the relevant criteria for the custom reports. We'll discuss all the fields of the custom reports one by one:
Single Line Input: Use the text field option when you require the guards to add concise information in a single line.
Multi Line Input: Use the text field option when you require the guards to add detailed information.
Number: Use the field when you want to call the data in numerical form, it could be the number of the report, clients present on the site, attendees to an event, the number of checks performed, etc.
Date Field: add a date.
Time: Define the time for an incident or event on the client site.
Checklist: The option allows you to add a checklist for the guards to mark as done.
Option Group: This option works as a checkbox but allows the guard to select only one option. You can use the field in case of genders, yes/no questions, etc.
Drop-down: The option allows the guards to select the relevant option from the drop-down.
Paragraph: You can provide specific instructions for your guards, which will be displayed on their mobile app.
Heading : This works as a label for the report. It will be shown as it is in the GuardsPro Mobile App for the purpose of making the report clear to the guards.
Signature: The guards can draw on the smartphone screen to add the signature to the report.
If you need to make a field mandatory, just select the Required option for the criteria.
You can also force guards to submit required media types. When options are left unchecked, the guard can choose which media to submit with reports.
To ensure timely report submissions from guards, enable the setting right below it to trigger reminders after a specified time interval once they have clocked in and checked in at the post site.
You can also add the level of severity to the report as per the requirement ( High/Medium/ Low)
Once you have created a custom report to suit your needs, just click on the Save button. The guards checked-in on the post site will be able to submit this custom report from the GuardsPro Mobile App.
