The time log lists down the details of all the shifts and breaks in chronological order. In case the guard had different shifts on the same site on a day, details for all shifts and the breaks included are shown separately. This helps you monitor guard punctuality and implement schedule compliance.
The time logs act as a base to calculate the total guard hours for time cards and ultimately for payroll processing. Only the time log entries that have been approved are reflected in the time card.
Approving Individual Time Log Entries
On the main menu click on the Time clock and select Time Logs from the drop-down. On the next screen, you see a list of the time log entries in the system, you can refine the results from the filters.
To approve a time log entry click on the Pending status visible under the Duration column and on the pop-up, simply confirm. The time log entry is now approved.
Bulk Approving Time Log Entries
You can narrow down the time log entries using filters to view the entries for a particular client, post site, guard, skill or department, entry type, and date range. To bulk approve the time log entries all at once for the selected criteria, simply select the entries and click on the Action button to the top and select Approve.
Note, using the same Action button, you can also disapprove or delete entries in bulk.
Auto Approving All Time Logs
GuardsPro gives you the option to auto-approve the time log entries. As and when the time log is registered by the system from the guards clocking-in and out of the client post site, the entry is automatically approved.
To enable the option click on the company name on the top right corner and select Settings from the drop-down. Under the Global Settings, click on Security Guards and then under the Time Clock tab, simply enable the Auto approve time logs and save the settings.
The setting is applicable to all the guards.
Auto Approving Individual Guard Time LogsThe changes in the settings are reflected on all the guards. You might want to enable or disable the option for a particular guard.
Click on the Security Team on the main menu and select Security Guards. Then select the guard for whom the setting has to be changed.
On the next screen, navigate to the Settings tab and under the Time Clock section, select or deselect the Enable auto approve time logs. Now go ahead and save the settings. The individual setting will override the setting for the individual guard.
